How to Authorize the "Same Item Multiple Boards" App

If updates are not syncing across shared boards or items in Monday.com, it is likely because the Same Item Multiple Boards app has not been authorized by the users. Without this authorization, changes made by a specific user will not "push" through to other boards. Refer to the steps below to identify and fix unauthorized accounts.



How to Check Authorization Status


  1. Open a shared item: Click to expand any item that is shared across multiple boards.


  1. Switch View: Select the **Same Item Multiple Boards **view from the item's top tabs.


  1. Access Settings: **Click the **Settings (gear icon) located next to the **Add to Board **button.


  1. *Audit the List: **Scroll down to the *Authorizations section.


  • Authorized: Users are syncing correctly.


  • Unauthorized: These users will have a black Unauthorized label next to their name.




How to Fix Unauthorized Accounts


You cannot authorize the app for another user due to security protocols, but you can prompt them to do it themselves:


  • *Send a Reminder: **Click the **Email Icon **next to any *Unauthorized label to automatically send that user an authorization request.


  • What the User Sees: They will receive an email or Monday.com app notification directing them to click a button to grant the app permission to sync their updates.



Note: For the best results, ensure all team members who regularly edit shared items have completed this one-time authorization.
